The company’s Payroll Supervisor, Julie Bygrave, explains how Access Payroll helps them to cope with such complex pay requirements. “Firstly, Access is very easy to use. This is important when you have as many employees with as many different earnings and deduction paytypes as we do. But for me the essential feature is the direct import of timesheets. If we had to re-key all this information manually, it would add at least 1½ days per week to the process. Indeed, without Access we would need to employ an additional member of staff just to complete the payroll on time.”

Employees working on site register their shifts by logging on to a system called Logosoft. Data is then transferred to an Excel spreadsheet, before being imported into Access Payroll. This system gives plenty of scope for the validation routines that are required before final processing can commence. Major anomalies are removed at the outset and handled individually. Then a series of reports is run, to ensure that legislative requirements on the maximum working week have been met and that employees have not exceeded their contracted hours.

Ultimately, the key to the overall success of the company’s payroll is not the number of steps involved but the way in which increasingly refined data is progressed through the system. Julie concludes, “Because Logosoft, Excel and Access Payroll are integrated, we do not need to sacrifice speed for accuracy. Data moves on automatically, once each stage is complete, and only correct information makes it into Access for final processing. And we know we can depend on Access to get it right – which leaves us with plenty of time to concentrate on other payroll duties.”
